Citing Sources

A guide to citing sources, citation styles, and citation management tools.

Setting up EndNote

The current version of EndNote is EndNote 2025. If you're unsure which version you have installed, go to About EndNote from the menu.
Need to update? Go to EndNote (Mac) or Help (PC) > Check for Updates.

Download & installation
  1. Duke OIT provides access to EndNote for all Duke users. Please download either EndNote 21 or EndNote 2025 directly from the OIT software page.
  2. Once installed, go into settings to enable sync and register for an EndNote online account (free) or sign in with an existing account.
    • PC: Edit > Preferences > Sync > Enable Sync.
    • Mac: EndNote 2025 > Settings > Sync > Enable Sync.
  3. Set up syncing:
    1. PC: Edit > Preferences > Sync > select which library you want to automatically sync.
    2. Mac: Zotero > SettingsSync > select which library you want to automatically sync.

Recommended setup
  1. Under the Preferences > Find Full Text section, add the following:

  1. Under the Preferences > PDF Handling section, select a folder under PDF Auto Import Folder and check the Enable automatic importing box to allow EndNote to automatically import PDFs and create associated parent records.

Tips & tricks

Basics

  1. Add references to your library by importing RIS files or simply upload/drag-and-drop PDFs to create citations
  2. Set up a shared library so you can collaborate with others. Go to File > Share and add collaborators by adding their email addresses. Be sure this is the same email address used to sign up their EndNote Online accounts.
  3. Use the Cite While You Write (CWYW) feature in either Microsoft Word or Google Docs to seamlessly add in-text citations and auto-generate reference lists using your citation style of choice.

Citation styles

EndNote makes it very easy to edit existing citation styles. 

  1. Go to Tools > Output Styles > Open Style Manager
  2. Select the citation style you would like to edit, and click Edit
  3. From there, you can change any aspect of the style you wish.

If you need a style that isn't listed in the Style Manager, simply click on Get More on the Web.

Term lists

EndNote offers three sets of defined term lists:

  1. Authors
  2. Journals
  3. Keywords

Think of these lists as controlled vocabularies or stored terms. It allows for consistent and standardized metadata across your entire EndNote Library. As you import citations into EndNote, it will automatically begin to populate these lists.

One of the most useful lists is the Journals Term List. This allows for a standardized list of full or abbreviated journal names, consistent with the citation style you're using, to be used in your final bibliography. You can download a full journal term list here.
